Presentation Tips
Simple, practical design rules that instantly make a student presentation look more professional — without needing any design background.
A presentation with strong content can still fail if it's hard to read or visually cluttered. Examiners and audiences form an impression of your slides within the first few seconds, and clean design keeps their attention on your message instead of on formatting problems. Design isn't decoration — it's a tool for communication, and a badly designed slide actively works against the point you're trying to make, no matter how well-researched the content behind it is.
The good news is that presentation design is a skill you can learn quickly. Unlike graphic design more broadly, PowerPoint design has a small set of rules that cover most of what separates an amateur-looking deck from a professional one. This guide walks through the ten that matter most, roughly in the order you'll apply them as you build a deck.
Mixing three or four fonts is one of the most common student mistakes, and it's also one of the easiest to fix. Pick one font for headings and one (or the same one) for body text — Calibri, Arial, Segoe UI, or Georgia all work well and are available on every version of PowerPoint, which matters if you're presenting on a computer that isn't yours.
Every time a reader's eye hits a new font, there's a tiny cognitive cost — the brain has to re-adjust to a new visual pattern. Across a 15-slide deck, that adds up to real friction. Professional templates almost always use exactly two typefaces: one for headings (often bolder, sometimes a different family) and one for body copy.
Try to keep no more than six bullet points per slide, and six words per bullet. If you need more detail, that's usually a sign the content belongs on a second slide, or in your spoken explanation rather than on the screen. The 6x6 rule isn't a strict law — some slides genuinely need seven words in a bullet — but it's a useful gut-check whenever a slide starts to feel crowded.
Don't just delete the extra detail — move it into your speaker notes. This keeps your slide clean while making sure you still cover the point verbally. A slide is a visual aid for your audience, not a transcript of everything you know about the topic.
Pick two or three colors and use them throughout the deck: one for backgrounds, one for headings, and one accent color for highlights or charts. PowerPoint's built-in "Design Ideas" panel (Design tab) can suggest a matching palette automatically based on any image you've already placed on a slide.
A slide packed edge-to-edge with text feels overwhelming before anyone even reads a word. Leaving margin around your content makes it easier to scan and signals that you've organized your ideas rather than dumped them onto the page. As a rule of thumb, if your slide's text and images fill more than 60-70% of the visible area, look for something to remove or move to a different slide.
Royalty-free photos from sources like Unsplash or Pexels look far more credible than cartoon clipart, which tends to read as dated or unserious in an academic or professional context. If your topic is technical, diagrams and screenshots usually communicate faster than a photo — save photography for slides where you're setting context or mood, like an introduction or section break.
Turn on PowerPoint's alignment guides (View > Guides) so text boxes, images, and titles line up consistently across every slide. Misaligned elements are one of the fastest ways to make a deck look unfinished, even when the audience can't quite articulate why something feels "off." Use Ctrl+click (or Shift+click) to select multiple objects, then use the Align tools under the Format tab (Align Left, Align Center, Distribute Vertically) instead of eyeballing positions manually.
A bar or line chart usually communicates a trend faster than a table of numbers. Remove gridlines, legends, or labels that don't add information, and only include the data points that support your point. PowerPoint adds a lot of chart "chrome" by default — 3D effects, heavy gridlines, unnecessary legends — nearly all of which should be deleted for a clean, readable result.
Body text should never go below 24pt if you expect people at the back of a room to read it. Titles usually look best between 36-44pt. If you find yourself shrinking text to fit more content on a slide, that's the 6x6 rule telling you to split the slide instead of shrinking the font.
A simple fade or none at all almost always looks more professional than spinning, bouncing, or zooming transitions, which can distract from your message and, in academic settings, can come across as unserious. Save more elaborate transitions for genuinely informal or creative contexts.
Typos are far more noticeable on a projected slide than on your laptop screen. Read every slide out loud before your presentation, and check numbers and units carefully — these are the errors examiners catch first, and they undermine credibility disproportionately relative to how "small" they feel while you're building the deck.
None of these tips require design software or experience. Apply even four or five of them consistently and your presentation will already look more polished than most of the room.
